How to get started with KANINE 5.0 softwareOverviewWelcome to KANINE 5.0 software. KANINE software is a complete K9 record keeping software application that helps you track all of your important K-9 information and print reports from your entered data as necessary. KANINE also offers a great amount of functionality to allow you to enter, edit or print data from nearly any computer and then optionally export that data to a shared database at a later time so that all data from all handlers can be reviewed and reported on as a whole.This page will offer some basic information about how to get started with KANINE 5.0. This help file assumes that you have already installed the KANINE 5.0 on your computer and that you have already created a user profile when the program ran the first time.DEMO Mode InformationKANINE 5.0 begins in DEMO mode until it is registered. In DEMO Mode you are allowed to setup 1 Handler Profile and 1 K-9 Profile. You can test all functionality of the software in DEMO Mode. However, some functions are limited in the number of times that you can use them. The system also limits the number of records that you can enter into the system. Feel free to enter real data into the system while it is in DEMO mode. Any records that entered prior to registration will remain in the system after the software is registered. On purchasing the software, you will be sent all information required to register the software and get started immediately via e-mail.General setupHandler profilesBefore any records can be added or edited, the handler must have a “Handler Profile’ created for him or her. Your agency must have purchased a license for each handler profile that is needed before the handler account can be created. Supervisory accountsSupervisory type accounts allow the agency to create license free, named accounts enabling supervisors or record clerks to access records or print reports when needed. Personnel using supervisory accounts cannot add or edit most records, but can perform most supervisory type functions.K-9 ProfilesEvery K-9 must have a K-9 profile. In Demo mode, the system only allows for the creation of 1 K-9 profile. Once licensed, KANINE allows an unlimited number of K-9 profiles to be created. Each Handler must have at least one K-9 profile created. Once created, the K-9 can be set as the handler’s primary K-9. This will allow the system to automatically insert the K-9’s name into any pertinent record that the handler creates within the system.To access the Profiles screen click the ‘Profiles’ button at the top of the main KANINE 5.0 screen. Click here for more Profiles helpSelection List SetupAnother important part of setting up the KANINE software is to edit the built in selection lists to conform to your desired settings. This list data is used throughout the KANINE software to allow the user to select data for multiple choice data fields. An example would be that the default Activity type for Agression training might be “Bite work”, but your agency calls this type of training “Aggression Training”. The List Maintenance screen allows your agency to change this terminology so that it suits your agency. Additionally, there may be training or deployment types that are not listed at all, that you can add using the List Maintenance screen.To access the the List Maintenance screen click the ‘Tools’ button at the top of the main KANINE 5.0 screen and the select the ‘Selection List Maintenance’ item. Record TypesTypically, the most important record types for any K-9 handler are Training Records and Deployment Records. KANINE does, however, offer other types of record tracking within the system, as outlined below.•Training Records- These records document any type of training that you and your KANINE perform. The most important reason for training documentation is for court so that you can prove that your K-9 has received adequate training. There are other reasons to record K-9 training time as well, to include justification of the K-9 unit, mandatory reporting required by you agency and training analysis.•Deployment Records- These records document any type of work performed by the K-9. Deployment records are also very important because they create official documentation of an event that occurred involving your K-9. If the case goes to court, you can not only print the deployment record for the event in question, you can also print reports that show important statistical information about your K-9’s usage in the field.•Medical Records- Medical records are an equally import part of a K-9’s documentation and also serves multiple purposes. The K-9 Medical records screen allows you to document vaccinations, check-ups, emergency treatment, etc. This documentation can help prove that you as a hand;er have given your K-9 all necessary medical treatment needed by the dog. This documentation can also be very important if a K-9 switches handlers, so that the new handler has an ideas of the dogs medical history and potential needs or considerations.•Certifications- Certifications are also very important to document as you typically must prove that a K-9 has been certified to perform the work it is doing if a case goes to court.•Daily Log- The Officer’s Daily Log is meant to allow the officer to record any type of daily activity, including non-K9 related activities such as vehicle stops and building checks.•Expense Records- Expense records allow the user to track KANINE expenses and incomes, such as dog food purchases or donations to the K9 unit. This can be helpful when submitting a budget for your K-9 team at the beginning of the year.How do Training and Deployment Records work?How the records are structuredDeployment records and Training records are essentially structured the same. Once you have learned how to enter one of these types, you will be able to easily enter the other. Both of these records have a main record part that holds primary information about the session. Both records also allow the entry of an unlimited number of ‘Activities’ that describe the various activities that the K-9 team performed during the Training or Deployment session. Additionally, Deployment records can have an unlimited number of vehicles and suspects attached to the record.Training RecordsTo successfully document a training session, we must do two things. A) Create a new Training record and and fill in the main portion of the record (which includes everything but the the ‘Activities’ tab. B) Enter one activity record for each separate activity that we performed. You do not need to create a new Training record for every activity that you performed during the session. Simply add an activity entry for each activity performed. Typically, we will perform more than one activity for each training session. For instance, in a single training session we might have our K-9 perform a training track, a building search and some obedience tasks. We do not have to actually create three training records to document this. We simply create one training record and then add three activities to the training record that explain the actual training that we performed.NOTE: YOU MUST ADD AT LEAST ONE ACTIVITY TO EACH TRAINING RECORD. Deployment RecordsDeployment Records work much the same as Training records in the fact that you enter the main portion of the record and then add as many connected activities as are needed to describe all of the activities that you performed during the deployment. Many deployments will only have one activity attached. Some however may have more than one. For instance, you might perform a track of a suspect that fled his vehicle, and later perform a search of the vehicle for Narcotics. In this case you would create a single deployment record and then add an activity for the track and another for the narcotics search.Suspects and VehiclesKANINE also allows you to optionally add information about the suspects that were involved in the deployment as well as any vehicles that were involved.
